USING APPLEWORKS TO KEEP TRACK OF OVERDUES BOOKS
< I am a media specialist in an elementary school of 500 <
:K - 6 students. Using AppleWorks, I maintain our overdue ;
9book lists and in conjunction with Apple Mailing Program <
:from International Apple Core, I mail out our overdue pay >
notices to parents. Using this system and with help from my=
;teachers, we ended the year with only 7 books not returned
or paid for.
< We use Fridays as our "due date" meaning the books are =
;due on the Friday 2 weeks after they are checked out. On <
:the following Monday, we enter all of the previous week's 9
7overdues into the database. (In the data base we only :
8record the name of the book, the student's name, a code =
;number for the homeroom teacher, and the due date which is <
:set as a standard value.) Then we printout overdue lists :
8that are selected for the individual teachers. We then >
<deliver the lists to the homeroom teachers who read off the ?
=lists to remind the students of the overdues. The next week >
<the new overdues are added to the database and the returned >
<books are deleted. After three weeks of reminders, we then >
<use Apple Mailing Program to printout individual letters to >
<parents asking for help in locating the book or for payment 8
6to replace the book. These letters are mailed to the >
<students home. We generally mail no more than 7-15 letters ?
=per week. With a replacement cost of over $10 per book, the *
cost of the letters is easily recovered.
9 This whole procedure takes my aide about 1 to 1 1/2 >
<hours total per week. Because we stressed to the staff how 4
2much replacement books cost, we have had a lot of >
<co-operation in getting the overdues back. If you have any =
;questions or comments, please feel free to send them to me
at TAWUG.
